Unlimited Car Wash Plan Abuse: An Operator's Playbook
Updated 2026-10-27
Unlimited wash memberships provide recurring revenue, but sharing can increase wash volume without adding subscription revenue. This playbook is the enforcement side: a written policy, what evidence to keep, how to decide, and how to warn a member fairly. For the signs of sharing themselves, see Car Wash Membership Sharing: Signs and Prevention.
1. Write the policy first
- One membership covers the registered vehicle.
- A clear vehicle-change process consistent with your membership provider's rules, including how replacement vehicles and temporary exceptions are handled.
- What happens on a first and a repeated issue, and that a person reviews the evidence before any action.
Put it in your membership terms and at the pay station, so the conversation with a member is short.
2. Keep evidence, not impressions
An attendant's observation can prompt a review; timestamped images and scan records make it easier to verify.
Evidence checklist
- The scan record: date, time, location and membership.
- Images of the vehicle from the time of the scan, preferably more than one frame.
- The vehicle registered on the membership.
- The member's other recent visits, and which vehicle they show.
- Any vehicle update, replacement vehicle or approved exception on file.
- Who reviewed it, when, and what they decided.
3. Sort before you decide
- Clear: a different plate and a different vehicle, on more than one visit, with no vehicle update or exception on file.
- Needs a closer look: only the plate differs (a new car, a temporary tag, a misread), or only the vehicle looks different (a similar model, night lighting).
- Fine: the plate and vehicle match the member.
Treating "needs a closer look" as misuse is how washes lose good members.
4. Warn, with a clear way to fix it
Send a short, factual warning with the dates and images, give the member a clear opportunity to correct the issue, and record that you sent it.
Sample warning
Hi [name],
Our records show your [plan] membership was used on [dates] with a vehicle that doesn't match the one registered to your account ([registered vehicle]). Photos from those visits are attached.
Your membership covers the registered vehicle. If you've changed cars, please update your vehicle in [where]. If something else is going on, reply and let us know.
Thank you,
[wash name]
5. If it continues
If further use appears to violate the membership terms, review the evidence and any vehicle update or approved exception. If misuse is confirmed, follow your membership provider's warning and cancellation process, including any applicable notice or refund requirements.
If the member disputes it, retain the original images, scan records and review notes so the decision can be checked.
6. Repeat-account checks
- Linked new accounts: review new accounts that share contact details or a payment identifier with an account you cancelled, especially on a sign-up promotion. Households can share these legitimately; check the vehicle history first.
- One list: keep warnings and cancellations in one list your staff can search by name or plate.
- Replacement credentials: handle replacement-tag requests consistently and note who asked.
Where Wash Attest fits
Wash Attest keeps the evidence for every scan in one place: the frames around each membership scan, the registered vehicle and the member's other visits. Scans that need attention go to a review list; your staff confirm or dismiss each one and record the warning or cancellation they sent through your provider.
